Welcome to India On Wheelz. These Terms & Conditions govern your use of our website, services, and travel products. By booking a trip, engaging with our team, or accessing our platform, you agree to be bound by these Terms. Please read them carefully, as they define both your rights and obligations, as well as our responsibilities and limitations.

These Terms are divided into three parts for clarity:

  • Part A – General Terms of Use
  • Part B – Travel Service Terms
  • Part C – Legal & Dispute Terms

PART A: General Terms of Use

1. Acceptance of Terms
  • By accessing our website, contacting us, or making a booking, you acknowledge that you have read, understood, and agreed to these Terms.
  • These Terms apply equally whether you book directly with us, through our website, or via authorized representatives.
  • If you disagree with any part of these Terms, you should not proceed with a booking.
2. Eligibility
  • You must be 18 years of age or older to enter into a legally binding agreement with India On Wheelz.
  • If you are under 18, a parent or legal guardian must provide consent and take full responsibility for your participation.
  • By booking on behalf of others, you confirm that you are authorized to accept these Terms on their behalf.
3. Client Responsibilities
  • You are responsible for providing accurate, complete, and truthful information (personal details, identification, travel documents, medical conditions, etc.).
  • You must ensure you are medically and physically fit to undertake the chosen trip.
  • You must comply with all applicable laws, local customs, and India On Wheelz guidelines during the course of your travel.
4. Platform Use & Communication
  • Our website, social channels, and booking platforms may only be used for lawful, genuine purposes such as trip inquiries and bookings.
  • You agree not to misuse our content, impersonate others, or make fraudulent bookings.
  • We will communicate important information (itineraries, invoices, confirmations) via email, WhatsApp, SMS, or calls. It is your responsibility to ensure your contact details are correct.

PART B: Travel Service Terms

5. Scope of Services

India On Wheelz acts as a travel facilitator. We curate, organize, and coordinate:

  • Group tours
  • Customized itineraries
  • Transport, accommodation, and activities
  • Visa assistance and other travel-related services

Many of these services are delivered by third-party providers (e.g., hotels, transport operators, activity partners). We act as an intermediary and are not the direct service provider for those components.

6. Booking & Confirmation
  • A booking is confirmed only when:
    1. You have accepted the final itinerary and package details
    2. The required payment (deposit/full) is received and
    3. We issue a written confirmation (email/WhatsApp/receipt).
  • Until confirmation, all quotes, itineraries, and price estimates remain provisional and subject to change.
  • If a booking is made on behalf of multiple travelers, the lead traveler will be the primary contact and responsible for payments and communication.
7. Payment Terms
  • Bookings typically require a non-refundable advance deposit, with the balance due before departure (as per package terms).
  • Failure to make timely payments may result in cancellation, with applicable charges deducted.
  • All bank charges, forex fees, or payment gateway costs are borne by the traveler.
  • Prices are based on prevailing rates at the time of booking, adjustments may occur due to changes in fuel prices, exchange rates, or government taxes.
8. Modifications & Rescheduling
  • Certain services (like flights, visas, event tickets) may be strictly non-changeable and non-refundable.
  • If India On Wheelz needs to amend an itinerary due to operational reasons, we will offer comparable alternatives. Major changes will be communicated in advance.
9. Cancellation & Refund Policy
  • All cancellations must be communicated in writing to India On Wheelz
  • Cancellation charges (on total trip cost)
    1. Non Refundable Amount – Booking Amount
    2. From 45 to 60 Days Before the commencement of the tour – 50% Cancellation of the Package Cost
    3. Below 30 days or Not Travelling – No Refund
  • Refunds will exclude non-refundable elements (GST, flight tickets, visa fees, event passes, etc.).
  • Refunds, when applicable, will be processed within a reasonable timeline, typically 30 working days.
  • If you don’t show up or voluntarily leave the trip after commencement, no refund will be provided for unused services.
10. Travel Insurance & Risk Acknowledgement
  • We strongly recommend comprehensive travel insurance (medical, accident, baggage, and trip cancellation).
  • Adventure activities (trekking, biking, rafting, etc.) involve inherent risks. By joining, you acknowledge and voluntarily accept those risks.
  • India On Wheelz shall not be liable for illness, injury, death, or losses arising from participation in such activities or circumstances beyond our control.
11. Travel Documents & Compliance
  • You must ensure possession of a valid Aadhar card, election card, passports, visas, permits, vaccination records, Driving License and other travel documents required for your trip.
  • India On Wheelz may assist with visa processing, but approvals and validity are at the discretion of consulates/authorities.
  • We are not responsible for disruptions caused due to incomplete or invalid documents produced by you.
12. Accommodation, Transport & Activities
  • Hotel check-in/out times are as per standard policy, early check-in/late check-out may incur charges.
  • Room allocation is subject to availability, specific requests (view, bed type, floor preference) cannot be guaranteed.
  • Transport and sightseeing follow pre-agreed itineraries but may face delays due to traffic, weather, strikes, or technical issues.
  • We are not responsible for loss/damage/theft of baggage or personal belongings.
13. Force Majeure
  • Circumstances beyond our control (natural disasters, strikes, epidemics, political unrest, government restrictions) may impact your trip.
  • In such cases, we may modify, reschedule, or cancel services.
  • Refunds/credits will depend on vendor policies, India On Wheelz is not obliged to provide compensation beyond what is recoverable.

PART C: Legal & Dispute Terms

14. Conduct & Behaviour
  • Travelers are expected to conduct themselves respectfully towards fellow participants, staff, and locals.
  • Any form of harassment, illegal activity, or disruptive conduct may result in immediate removal from the trip without refund.
  • You are financially responsible for damages caused by your actions.
15. Limitation of Liability
  • India On Wheelz acts as an intermediary, liability for third-party service performance (flights, hotels, transport, etc.) rests with those providers.
  • Our liability, if any, shall not exceed the total amount paid to us for the specific service in question.
  • We are not liable for indirect, incidental, or consequential losses (such as missed flights, loss of enjoyment, emotional distress).
16. Indemnification

You agree to indemnify and hold harmless India On Wheelz, its employees, agents, and partners against any claims, damages, or expenses arising from:

  • Your breach of these Terms
  • Misrepresentation of information
  • Violation of local laws
  • Negligence or misconduct during travel
17. Governing Law & Jurisdiction
  • These Terms are governed by the laws of India.
  • Any disputes will first be attempted to be resolved amicably.
  • If unresolved, disputes will be subject to the exclusive jurisdiction of courts in Ahmedabad, Gujarat.
18. Amendments
  • India On Wheelz reserves the right to amend these Terms & Conditions without prior notice.
  • The latest version will always be available on our official website.
  • Continued use of our services after updates implies acceptance of the revised Terms.
